Privacy Policy

MomentPing processes event photos and facial data to match guests with their pictures. This page explains what we collect, why we need it, and how long we keep it.

What we collect

From photographers (you):

  • Email address and name (via Google sign-in)
  • Event photos you upload
  • Event names and basic event details
  • Payment proof screenshots (GCash, MariBank, or GoTyme receipts)
  • Brand settings (company name, logo, website, and social media handles) if you choose to customize your branding

From event guests:

  • One selfie photo taken during QR code registration
  • Name (first name is enough)
  • Email address (required — this is how guests receive their gallery link)
  • Facial biometric data extracted from the selfie (used for matching, then automatically deleted)

Important: Guest email addresses are never shown to photographers. Photographers can see guest names and selfies to help verify registrations and troubleshoot matching issues.

Why we collect it

  • Selfies: To match faces in event photos with the right guests using AI
  • Guest email addresses: To send personalized gallery links and registration confirmations
  • Photographer email: To send login links, event approval notifications, and service updates
  • Payment proof screenshots: To verify payment and activate your event
  • Brand settings: To display your branding on guest galleries

How face matching works

When a guest takes a selfie, we use a cloud-based facial recognition service to extract facial features (like distance between eyes, nose shape) into a mathematical representation. We compare this against faces detected in your event photos. A minimum confidence threshold of 80% is required for a match.

Quality checks: We validate selfie quality before processing — checking face visibility, sharpness, and pose angle. If the selfie doesn't meet quality standards, the guest is asked to retake it.

Guests only see photos they appear in. Nobody else can access their gallery without the unique link sent to their email.

Privacy protection: Guest email addresses remain private and are never shown to photographers.

Payment and payment proof

Payments for standard events are made via GCash, MariBank, or GoTyme Bank. We do not integrate with these payment services directly — you make the transfer yourself and upload a screenshot as proof.

What we store: The payment screenshot image you upload. This is stored in our cloud storage and is visible to our admin team for verification purposes only.

Payment proof screenshots are deleted along with all other event data when the event is archived (45 days after gallery links are sent).

Emails we send

We send the following emails:

  • To photographers: Event approval confirmation when your payment is verified and your event is activated
  • To guests: Registration confirmation after signing up for an event, and a personalized gallery link once photos are matched and distributed
  • To our admin: A notification when a photographer uploads payment proof (includes event name, reference number, and organizer email so we can verify the payment)

All emails are sent through a third-party email delivery service. This service receives the recipient's email address, name, and email content in order to deliver the message.

How long we keep data

  • Event photos: 45 days after gallery links are sent, then automatically deleted
  • Selfies and facial data: Facial data is deleted when the event is archived. The selfie images are deleted along with all event data.
  • Guest data (names, emails): Deleted with event data after 45 days
  • Payment proof screenshots: Deleted with event data after 45 days
  • Your account data: Kept until you delete your account
  • Payment records: Kept for 7 years (required by law)

If you want your event data deleted earlier, email us at privacy@momentping.com and we'll delete it within 48 hours of your request.

Who sees the data

Our admin team: Authorized admins can view pending payment events, payment proof screenshots, organizer emails, and event statistics for verification and support purposes. Admins cannot see guest email addresses or individual gallery links.

Cloud storage: Photos, selfies, and payment proofs are stored using a third-party cloud storage provider.

Face recognition: Guest selfies and event photos are sent to a third-party facial recognition service for face indexing and matching. This service processes data on our behalf and does not retain it after processing.

Email delivery: Emails are sent through a third-party email service which receives recipient email addresses, names, and email content to deliver the messages.

Authentication: We use Google for sign-in. Google provides us with your email address and name. We do not receive or store your Google password.

We never sell your data. We never will.

What photographers can see

As the photographer who created the event, you can see:

  • Guest names
  • Guest selfies (used for verification and troubleshooting)
  • How many photos each guest was matched to
  • Whether gallery links were successfully sent
  • Event statistics (total guests, total photos)

You cannot see:

  • Guest email addresses
  • Individual gallery links
  • Which specific photos each guest received (only the count)

Why photographers see selfies: This helps you verify legitimate registrations, remove spam or test entries, and troubleshoot if a guest reports they didn't receive their photos.

Your rights

You can:

  • See what data we have about you
  • Download your data
  • Delete your account and all associated data
  • Request early deletion of event data (we normally keep it 45 days)
  • Opt out of email notifications (you'll still get login links)

Cookies

We use one cookie to keep you logged in. That's it. No tracking, no ads, no third-party analytics cookies.

Children's privacy

MomentPing is for professional photographers. You must be 18+ to create an account. Event guests can be any age, but photographers are responsible for getting appropriate consent from parents/guardians for minors at their events.

Changes to this policy

If we make changes, we'll email you 30 days before they take effect. Continued use after that means you accept the changes.
